Be specific

If your email contains more than a few sentences, make sure to mention the exact title of the project or the exact deadline that you are aiming for. This will help your colleagues and clients to better organize their day and prioritize their tasks.

Use bullet points.

Bullet points make information easy to digest. I write my emails in an elaborate bullet point format when possible.

Make everything actionable.

If information you write is not actionable, why would you bother to write it?

Don’t beat around the bush

Get to the point. Your recipients are busy people, so don’t waste their time. If you want something, say it. If you want someone to do something, tell them straight away.

Keep it short

As people are getting busier and busier, it’s getting harder and harder to get through. If you have something to say, don’t make your recipients scroll through lots of text. Keep your message short and to the point.

Be polite

Being polite is much more important than being informal. Try to use “please” and “thank you” whenever you can. If you are asking for something, say “please”. If you are giving someone something, say “thank you”.

Use set language

This will make your emails more professional and formal. It’s not a good idea to use words like “I” or “me” – use “you” instead.
